Task switching can sink your agency đ
Avoid task switching to improve efficiency within your agency
Welcome back to The Agency CEO (by me, Jesse Gilmore at Niche in Control).
Every Thursday, I send you a quick 10-minute read on the tools, tactics, and systems that the top 1% of agency owners have used to scale their businesses to 8-figures and beyond.
This week, weâre talking about something that can slow you down in business and life â task switching.
Letâs dive in đ

âThere is no such thing as multitasking. Attempting to do it is another waste worth removing. Frequent task switching can cause a lack of focus and wasted time trying to reorient to the task at hand. Batching similar tasks together minimizes the effects of task switching.â

Task Switching Is Common â But That Doesnât Make It Right
Task switching is a difficult habit to break, both in your personal and professional lives.
Example: while preparing for a sales call, youâre also tweaking a clientâs website design. This puts you in the wrong frame of mind and makes it difficult to put on your âsales hat.â
Hereâs how you can reduce task switching in your agency:
Batch similar tasks: Group similar tasks together. For instance, dedicate specific times for client meetings, responding to emails, and working on projects.
How it helps: It reduces the cognitive load and increases efficiency by maintaining focus on related activities.Time blocking: Allocate chunks of time to specific tasks or projects. During these blocks, focus solely on the designated activity.
How it helps: It enhances productivity by ensuring uninterrupted work periods dedicated to important tasks.Minimize interruptions: Set boundaries for your work time. Use tools like "do not disturb" modes on devices and communicate your focus times to your team.
How it helps: It prevents disruptions, allowing you to maintain concentration and complete tasks more quickly.Prioritize tasks: Identify the most important tasks and tackle them first. This ensures that high-priority items get your full attention when your energy is at its peak.
How it helps: It allows for important tasks to be completed efficiently, thus improving overall effectiveness.Take regular breaks: Incorporate short breaks between tasks to reset your focus and energy. Use it to rest your mind and body.
How it helps: It prevents burnout and keeps your mind fresh, sustaining productivity over longer periods.
ACTION ITEM: Implement the above tips for your work day today. Make a note every time you catch yourself unconsciously task-switching. Iâd bet that it happens more often than you think!
At the end of the day, try and determine which of the above strategies most helped you focus.
Shoot me an email letting me know which worked best for you - Iâll include results in the next newsletter!

Task switching can be the downfall of productivity and efficiency. Donât let this sink your agency.
